What Fields Should an NGO Donation Receipt Include?

A valid NGO donation receipt — especially for 80G tax claims — must have these details. Our templates already include all of them.

  • Donor’s full name, address, and PAN number
  • Mode of payment – cash, cheque, UPI, NEFT/RTGS

Donation Amount

  • Amount written in both figures and words
  • Cheque or transaction reference number

Sign-off

  • Confirmation that no goods or services were exchanged
  • Authorised signatory name, designation, signature, and seal

Form 10BD and Form 10BE – What NGOs Need to Know

Since FY 2021-22, donors cannot claim 80G deductions based on your manual receipt alone.
Here’s the current process:

  • Step 1: Issue your receipt immediately when you receive the donation. Use the templates above.
  • Step 2: File Form 10BD on the Income Tax e-filing portal by 31st May each year. This lists all donations received during the financial
year – donor name, PAN, amount, and payment mode.
  • Step 3: Download Form 10BE for each donor from the IT portal after filing 10BD. Share this certificate with your donors. This is what
they now need to claim their 80G deduction in their ITR.

Your manual NGO receipt + Form 10BE together keep both your NGO and your donors fully compliant.

Frequently Asked Questions (FAQ’s)

What must an NGO donation receipt include for 80G?
An NGO donation receipt for 80G must include the NGO name, PAN, 80G URN, and validity period. It should also have the donor’s name, PAN, donation amount (in words and numbers), date, and payment mode. The receipt must clearly mention that no goods or services were given in return.
Is a manual receipt enough to claim 80G deduction?
No, a receipt alone is not enough. From FY 2021-22, donors also need Form 10BE. NGOs must file Form 10BD and then provide Form 10BE to donors. The receipt is given at the time of donation, while Form 10BE is shared later.
Can an NGO accept cash donations above ₹2,000?
Yes, NGOs can accept any amount in cash. However, donations above ₹2,000 made in cash are not eligible for 80G tax benefits. To claim deduction, donors must pay through cheque, UPI, NEFT, or bank transfer.
What is the difference between an NGO receipt and a trust receipt?
There is no major difference. A trust is one type of NGO. The receipt format remains the same for trusts, societies, and Section 8 companies if they are registered under 80G.
How much tax benefit can a donor get under 80G?
Donors can claim 50% of the donated amount as a deduction. This benefit is limited to 10% of their adjusted total income for eligible donations.
Are digital NGO donation receipts valid?
Yes, digital receipts like PDF shared via email or WhatsApp are valid in India, as long as all required details and authorised signatory information are included.
How long should NGOs keep donation records?
NGOs should keep donation receipts and records for at least 7 years. These records may be needed for income tax checks or audits.
Is GST applicable on NGO donations?
Usually, GST is not applicable on donations since no goods or services are provided in return. However, if benefits are given to donors, it is better to consult a CA.
